2.1 Information Provided via Google Sign-In

When you sign in with Google, we receive:

We use this only for authentication and to personalise your experience within the platform. We do not access your Gmail, Google Drive, Calendar, or any other Google service data.

2.2 Attendance & Session Data

• Student names, PRN numbers, roll numbers, and college/division details
• Session details: date, time, topic, faculty, batch information
• Attendance records: present/absent status with timestamps
• Location data (only when QR attendance with geo-fencing is used)

2.3 Feedback Data

When students submit feedback, we collect ratings, comments, and optional identifying information (PRN/roll number) for the sole purpose of matching attendance records.

3. How We Use Your Information

• To authenticate faculty and admin users via Google OAuth 2.0
• To record, manage, and report student attendance
• To generate automated attendance reports sent via email
• To enable QR-based and geo-fenced attendance marking
• To detect and prevent proxy attendance
• To display dashboards and analytics to authorised faculty
• To send session-related notifications to relevant parties (TPO, faculty)

4. Google OAuth & Limited Use

AttendTrack uses Google OAuth 2.0 solely for user authentication. We request only your basic profile information (name and email). We do not request access to your Gmail, Contacts, Drive, Calendar, or any other Google Workspace data.

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Data Sharing & Disclosure

We do not sell, rent, or trade your personal information. We may share data only in the following circumstances:

• Within APT-Tech: Authorised faculty and administrators for operational purposes
• Service providers: Hosting and infrastructure providers who process data on our behalf under confidentiality agreements
• Legal requirements: If required by law, court order, or governmental authority

6. Data Security

We implement industry-standard security measures including encrypted data transmission (HTTPS), role-based access controls, and secure authentication. Only authorised admin and faculty accounts can access student attendance records.

While we strive to protect your information, no method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.

7. Data Retention

Attendance records and session data are retained for the duration of the academic engagement and may be stored for up to 3 years for institutional reporting purposes. User account data is retained as long as the account remains active. You may request deletion of your account data by contacting us.

8. Your Rights

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate data
• Request deletion of your personal data
• Revoke Google OAuth access at any time via your Google Account settings

AttendTrack is designed for use by college faculty and administrators. It is not directed at children under the age of 13. Student records stored in the system are managed by their respective institutions and faculty, not directly by minors.
